Privacy policy

Last updated 2026-11-02.

ApexScan is operated by Service Automations, 5420 Bellissima Way, Round Rock, Texas, phone 661-722-4422 ("ApexScan", "we", "us"). This policy explains what personal information we collect, why, who sees it, how long we keep it, and the choices you have. It covers apexscan.co, the ApexScan app, the reports we produce and the emails we send.

1. The short version

  • We collect your email, the addresses you order reports for, your payment status (not your card), and basic technical data needed to run and protect the service.
  • Reports are built from public records, public imagery and open map data. Those records can include the name of a property's owner of record.
  • This website runs no advertising or analytics trackers.
  • Anyone who has a report link can open that report. Share links carefully.
  • You can ask to see, correct, delete or export your information, and to appeal our answer. Section 9 explains how.

2. Information we collect

Information you give us

  • Email address, to create your account, send one-time sign-in links and deliver service messages.
  • Property addresses you order reports for, and the reports built from them.
  • Name, company and message text if you use the contact form or join the waitlist.
  • Anything you write to us.

Payment information. Payments are processed by Stripe. We receive your plan, payment status, billing email and the last four digits and brand of your card as supplied by Stripe. We do not receive or store your full card number.

Information collected automatically

  • Technical data such as browser type, device type and the time and URL of a request, kept in logs for security, reliability and abuse prevention.
  • A one-way hash of your network (IP) address, used to rate-limit forms and detect abuse. We do not store the address itself for this purpose.
  • When you buy: your IP address, browser details, language setting, the page you were on and the date and time you agreed to the Terms and the no-refund policy, stored together with the exact wording you agreed to. We keep this as a record of the agreement.
  • One session cookie that keeps you signed in. See section 7.

Information from public and third-party sources about properties. To build a report we collect information about the property at the address you enter. This comes from county appraisal and parcel records, public aerial imagery and height data, government storm and hazard records, open map data and commercial mapping, imagery and property-data providers. It can include the owner of record named in county records, building details, permit history and appraised values. This is information about a property and its records, not about you, unless you are the owner.

We do not intentionally collect sensitive personal information (such as health, biometric, precise personal location, race, religion or government ID numbers).

3. How we use information

  • Provide the service: sign you in, build and deliver reports, keep your report library, manage credits and subscriptions.
  • Take payment, issue credits, and prevent fraud.
  • Communicate with you: sign-in links, receipts, service notices, replies to your messages, and, if you joined the waitlist, a message when checkout opens.
  • Keep the service secure, detect abuse and enforce our Terms.
  • Prevent and answer payment disputes: if a card payment is disputed, we send Stripe and your card issuer the record of your agreement, your orders, the reports delivered and your sign-in times.
  • Maintain, test and improve the service, including the accuracy of reports.
  • Comply with law and respond to lawful requests.

We do not use your information to make decisions that have legal or similarly significant effects about you, and we do not profile you for advertising.

4. Who we share information with

We share information only as follows:

  • Service providers that process data for us under agreements limiting their use: Stripe (payments), Cloudflare (hosting, storage and email delivery), and mapping, imagery and property-data providers that receive the property address needed to produce a report.
  • People you share a report with. A report link works for anyone who holds it.
  • Legal and safety. When required by law, subpoena or court order, or to protect rights, safety, our users or the service.
  • Business transfers. If ApexScan is involved in a merger, financing, acquisition or sale of assets, information may transfer as part of that transaction, subject to this policy or notice of changes.

We do not sell the personal information of our account holders, and we do not share it for cross-context behavioral advertising. If our practices change, we will update this policy before they do.

5. Reports, public records and property owners

Reports describe a property using public information, including, where available, the owner of record shown in county records. If you are the owner of a property that appears in a report and want to ask about it, see section 9. We can review requests to correct or remove information we hold. We cannot change what county or other public records say; to change those, contact the originating agency.

6. How long we keep information

  • Account and order information: while your account exists, and afterward for as long as needed for accounting, tax, fraud prevention, dispute resolution and legal obligations.
  • Reports: report links are permanent so that a link you sent keeps working. A report stays available until the report is revoked or deleted under section 9.
  • Source data: we keep records of the data we retrieved to build a report, so the report can be explained and reproduced and for audit and quality purposes.
  • Logs: kept for a limited period for security and reliability.
  • Checkout agreement records and dispute responses: kept for as long as a payment could be disputed and as needed for accounting, tax and legal purposes.
  • Sign-in tokens and sessions: expire automatically and are deleted after they expire.

When you ask us to delete information we will delete or de-identify it unless the law lets or requires us to keep it, and we will tell you what we kept and why.

7. Cookies and similar technologies

This website uses one first-party session cookie, set when you sign in, to keep you signed in. It is not used for advertising. We do not run advertising or cross-site tracking technologies on the marketing website. Because we do not use targeted advertising on this site, there is nothing to opt out of, and we honor browser signals such as Global Privacy Control as an opt-out preference.

8. Security

We use reasonable administrative, technical and physical safeguards, including encryption in transit, access controls and limited retention of credentials. No system is perfectly secure. If a breach affects your information we will notify you and regulators as the law requires.

9. Your rights and choices

Depending on where you live (including Texas and California), you may have the right to:

  • confirm whether we process your personal information and access it;
  • correct inaccurate information;
  • delete information you provided or we collected about you;
  • obtain a portable copy of your information;
  • opt out of sale, targeted advertising and profiling in furtherance of significant decisions (we do none of these);
  • appeal a decision on your request;
  • not be discriminated against for exercising a right.

How to make a request. Use the contact form at apexscan.co/contact, or call 661-722-4422, and tell us what you want and the email on your account. We will verify your identity, usually by emailing a link to the address on the account. An authorized agent may act for you with your written permission.

Timing. We respond within 45 days, and may extend once by up to 45 more days if reasonably necessary, telling you why.

Appeals. If we deny a request you may appeal by replying to our decision or using the contact form with the word "Appeal". We respond to appeals within 60 days and explain the outcome in writing. If you are not satisfied, Texas residents may contact the Texas Attorney General, and residents of other states may contact their state's regulator.

Marketing email. We send waitlist and service emails only. Each marketing email can be unsubscribed from, or write to us. Service messages about your account and payments cannot be turned off while you have an account.

10. Children

ApexScan is for adults and businesses. You must be at least 18 to use it. We do not knowingly collect personal information from anyone under 13 (or under 16 where the law requires consent). If we learn we have, we will delete it.

11. Where information is processed

ApexScan is offered for Texas properties and is intended for users in the United States. Your information is processed and stored in the United States and by providers that may process it elsewhere under their own safeguards. We do not target users in the European Economic Area or the United Kingdom.

12. Changes to this policy

We may update this policy. We will change the date at the top and, for material changes, tell account holders by email or notice on the site before the change takes effect.
